OFFICE ADMINISTRATOR
Part Time ~ New York

Historical Concepts is an architecture firm headquartered in Atlanta, with an office in Manhattan’s Flatiron District. We love creating enduring beauty through architecture and planning that improves the lives of people and their communities. We are looking for an Office Administrator to join our team and help make the best first impression possible for our clients, visitors and staff.

This position would be part-time, starting at 20 hours a week/four hours a day, five days a week, in person at our office in the Flatiron District. There will likely be an opportunity to increase hours in the future, as the office grows over the coming years.

The responsibilities for the Office Administrator include:

• Answering all telephone calls for the firm, connecting callers with the right point of contact, taking messages as needed
• Greeting clients and visitors that come into the office
• Maintaining the professional appearance of the office through organization and close coordination with staff
• Maintaining functionality of office equipment (phones, printers, copiers, scanners)
• Keeping our appointment calendar current
• Handling post and email, redirecting items if appropriate
• Accepting and sending packages
• Inventorying and ordering office supplies
• Supporting the Studio Director
• Working with Marketing Staff to prepare external and internal deliverables, and portfolios and work samples as needed
• Other in-office duties as needed

• Pleasant and professional demeanor; Good organizational and follow-through skills
• Excellent interpersonal skills; observant and considerate of others
• Eager to work as part of a creative team, detail-oriented and able to multi-task
• Should possess a curiosity, eagerness to learn, drive to improve everyday
• Self-starter, critical thinker with the ability to apply general feedback across specific tasks and deliverables
• Ability to work independently as well as follow instructions
• Strong verbal and written communications skills in English
• Strong skills in Microsoft Office, especially Word, Outlook, and Teams
• Basic proficiency in Adobe Creative Suite (Photoshop, InDesign, Acrobat) and Microsoft Excel
• 4-year college degree required
• Prior experience in professional office/customer service or similar responsibilities
• Passion for architecture and classical/vernacular design is a plus
